This is the Privacy and Cookies Policy for www.whizz-kidz.org.uk (“Site”) and any associated mobile application ("App"). The Site and the App shall together be referred to as the "Services" in this Privacy and Cookies Policy. The Services are provided by The Movement for Non-Mobile Children (Whizz Kidz) (“we”, “us” and “our”).  We are a company limited by guarantee registered in England and Wales.  Our registered company number is 2444520. We are a registered charity under number 802872. Our registered office is at 4th Floor Portland House, Bressenden Place, London, England, SW1E 5BH.

We are committed to protecting your privacy on-line.  We appreciate that you do not want the personal information you provide to us distributed indiscriminately and here we explain how we collect information, what we do with it and what controls you have.

By using the Services, you consent to the collection and use of information in accordance with this Privacy and Cookies Policy.

We reserve the right to change this Privacy and Cookies Policy from time to time by changing it on the Site or the App.  This Privacy and Cookies Policy was last updated on 20 January 2014.

2. Information we may collect from you via the Site

We may collect and process the following information about you:

• Information (such as your name, email address, postal address and telephone number) that you provide by completing forms on the Site;

• Information as detailed in section 4 below;

• Details of any donations made by you through the Site;

• Communications you send to us, for example to report a problem or to submit queries, concerns or comments regarding the Site or its content;

• Details of your visits to the Site, the resources you access and any data you download.

You are under no obligation to provide any such information.  However, if you should choose to withhold requested information, we may not be able to provide you with certain services.

3. Uses made of your information that you submit via the Site

We will use the information you provide to:

• Enable us to provide you information offered through the Site and which you request;

• Enable us to further process any request in respect of equipment requirements; process any donations you make via the Site; audit the use of the Site and your compliance with the terms and conditions of use at Terms and Conditions

• Respond to legal requirements;

• Improve the Site and the layout and/or content of the pages of the Site and customise them for users;

• Send you information which you have requested from us, including information about our services or those of carefully selected third parties; and

• Allow, with your consent, carefully selected third parties to send you information directly which you may find useful regarding their products and services.

You can tell us not to contact you or tell us you do not wish us to continue to use your information in this way by contacting us using the contact details at the end of this Privacy and Cookies Policy.

4. Additional Information that may be collected via the Site

The Site contains an on-line equipment application form ("Form") that may be completed where you need to request specialist equipment. You will be asked to complete a number of details on the Form and this will include the inclusion of sensitive personal data about the individual who needs the equipment such as doctor's name and other medical information. We need this information to ensure that we are able to process the Form and ensure that the correct equipment is provided. Please see details on the Form for further information that is applicable to the collection of this data.

We will protect this data in compliance with English Law.

5. Information we may collect from you via the App

We may collect and process the following information about you:

• Information (such as your name, email address, postal address and telephone number) that you provide by completing forms on the App;

• The age of the child about whom an enquiry for equipment is made;

• Details of what equipment is currently in use and details of any new equipment that is being requested;

• Communications you send to us, for example to report a problem or to submit queries, concerns or comments regarding the App or its content;

• Details of your visits to the App, the resources you access and any data you download.

You are under no obligation to provide any such information.  However, if you should choose to withhold requested information, we may not be able to provide you with certain services.

6. Uses made of your information you submit via the App

We will use the information you provide to:

• Enable us to provide you information offered through the App and which you request;

• Enable us to further process any request in respect of equipment requirements. This will involve you visiting the Site and completing the Form on the Site; audit the use of the App and your compliance with the end user licence agreement 

• Respond to legal requirements;

• Improve the App and the layout and/or content of the pages of the App and customise them for users;

• Send you information which you have requested from us, including information about services or those of carefully selected third parties; and

• Allow, with your consent, carefully selected third parties to send you information directly which you may find useful regarding their products and services.

7. Cookies and similar technology

When you interact with the Services, we try to make that experience simple and meaningful. When you access the Services our web server sends a cookie or other similar technology to your computer, tablet or device.   Cookies are small pieces of information which are issued to your computer, tablet or device when you visit a website or application and which store and sometimes track information about your use of that website or application.  A number of cookies we use last only for the duration of your session and expire when you close your browser. Other cookies are used to remember you when you return and will last for longer.

We use cookies to remember that you have visited us before; this means we can identify the number of unique visitors we receive. This allows us to make sure we have enough capacity for the number of users that we get.

The cookies we use are set by us or by Google Analytics.

Purpose: We use Google Analytics to monitor traffic levels, search queries and visits to this website. Google Analytics stores IP address anonymously on its servers in the US. These cookies enable Google to determine whether you are a return visitor to the site, and to track the pages that you visit during your session.

Type and duration: Persistent and session only

Cookie name: exp_last_visit exp_last_activity exp_tracker

Purpose: Used by the ExpressionEngine content management system to track a user’s session.

Type and duration: Session.

8. Information sharing

We may disclose aggregate statistics about visitors to the Site and App in order to describe our services to prospective partners, advertisers, sponsors and other reputable third parties and for other lawful purposes, but these statistics will include no personally identifiable information.

We may disclose your personal information to any of our affiliates, or to our agents or contractors who assist us in providing the services we offer through the Site and App, fulfilling requests for information, receiving and sending communications, updating marketing lists, analysing data, providing support services (such as fraud investigations and customer support) or in other tasks, from time to time. Our agents and contractors will only use your information to the extent necessary to perform their functions.

In the event that we undergo re-organisation or are sold to a third party, we may transfer in accordance with the applicable laws any personal information we hold about you to that re-organised entity or third party.

We may disclose your personal information if required to do so by law, to cooperate or seek assistance from law enforcement or to protect the interests or safety of us or other users.

9. Public forums

The Services may, from time to time, make chat rooms, message boards, news groups and/or other public forums available to its users.  Any information that is disclosed in these areas becomes public information and you should exercise caution when using these and never disclose your personal information.

10. Security

We place great importance on the security of all personally identifiable information associated with our users.  We have security measures in place to attempt to protect against the loss, misuse and alteration of personal information under our control. For example, our security and privacy policies are periodically reviewed and enhanced as necessary and only authorised personnel have access to personal information. SSL (secure sockets layer) is also used to encrypt data transmission between a user’s browser and the server and data is held on servers in encrypted form. Whilst we cannot ensure or guarantee that loss, misuse or alteration of information will never occur, we use all reasonable efforts to prevent it.

You should bear in mind that submission of information over the internet is never entirely secure.  We cannot guarantee the security of information you submit via the Services whilst it is in transit over the internet and any such submission is at your own risk.

It is advisable to close your browser when you have finished your user session to help ensure others do not access your personal information if you use a shared computer or a computer in a public place.

The Services may, from time to time, contain links to external sites.  We are not responsible for the privacy policies or the content of such sites.

12. Storage of your information

Information that you submit via the Services is sent to and stored on secure servers located in London. This is necessary in order to process the information.

Information submitted by you may be transferred by us to our other offices and/or to the third parties mentioned in the circumstances described above, which may be situated outside the European Economic Area and may be processed by staff operating outside the European Economic Area. By submitting information via the Services, you agree to this storing, processing and/or transfer.

13. Your rights

You have a legal right to a copy of all the personal information about you held by us.  On request, we will provide you with a copy of this information subject to a fee not exceeding £10.  You also have a right to correct any errors in that information.  As mentioned above, you have a right to prevent the use of your personal information for direct marketing purposes.
